Planning for Your First Trade Show

Exhibiting at a trade show is a great way to build your brand, bring awareness to your product/service and, well of course, to make sales.  Trade shows are also an excellent platform to network with associates and to see exactly what your competition is up to.  Whatever prompts you to exhibit at one of New York City’s many shows, someone will need to take care of all the logistics.

If you often participate in exhibitions, you may already have a system and support lined up for the upcoming event, but if you are new to the circuit, then you have a lot of planning ahead of you.  You’ve already taken the first step when deciding to partake, and you may already have your booth designed and it’s in the process of being built, but how are you going to get it there and assembled before you arrive wearing your best suit and your winning smile?

There are many venues throughout the city that regularly host the vast array of trade shows in which to participate. Depending on where the exhibition is being held, whether it is a convention center, hotel, hall or campus, it is imperative to become familiar with the venue’s labor rules regarding work times, unloading equipment and display and break-down.  Some venues require you to execute the logistics on your own, with some instruction of course, and some require you to solely use their crew(s) for most of the labor. Much of this information is very likely available on the venue’s website, or you can speak to the event’s coordinator for more information.

If you don’t have your own truck and crew, you may opt to use a local delivery service who can address many more issues than just getting the goods to the show on time.  Companies like GFD Courier offer insured truck delivery services, with personnel who can pack, load, deliver, and , your exhibit with precision and care.  We are familiar with dealing with difficult regulatory issues, and may already have knowledge of your venue’s requirements.

Don’t worry, there’s still plenty for you to do. GFD may be able to get you up and running, but it’s up to you to close the deal!  Exhibitions provide essential face to face contact with existing clients as well as potential new ones.  Make sure you don’t miss the chance to make an impression on potential clients as they stroll by your booth.  Attendees won’t stop and see what you have to offer if your booth looks uninteresting or they can’t tell what you’re offering. So make sure that your signage and marketing materials tell your story in an exciting fashion. Many businesses use audiovisual presentations to make their booth more engaging and entertaining, and hand out informative brochures and personalized giveaway items to ensure a lasting impression.

All the planning and preparation can be overwhelming if you are going it alone, but there are local companies throughout the city that are happy to help.
